Frequently Asked Questions about Imagine Center Meetings

Technology & Facilities

A: All rooms (except Gobi and Serengeti) have screens and can present through Zoom. Alternatively, JHU affiliates can download the AirMedia app and present in the Summit Auditorium and the Free Dive Conference room. Microphones are not typically necessary, but are available for larger meetings and will connect to the building’s audio system.

A: No, the Imagine Center’s technology is self-guided. You must provide your own laptop to connect to our technology. Each presentation room has instructions to help you set up Zoom and/or utilize AirMedia. When hosting a virtual or hybrid meeting, we ask you to arrive at least 15 minutes early to get your technology set up before your guests arrive. In the event of a problem, Imagine Center staff can assist with technology inquiries.

A: The Imagine Center staff is familiar with the technology in our rooms and can help you troubleshoot whenever possible. For high-profile meetings, we can request to have someone from IT available to assist further; this will require at least two weeks’ notice.

A: This would require an in-person meeting and walkthrough at least three weeks before your meeting to ensure we can accommodate your vision. As the meeting host, you should plan to work with your own staff to execute this request and return the room to its original layout. Please be aware that Imagine Center cannot guarantee any staff to assist with the movement of the furniture.

A: For most meetings, the Imagine Center’s trash bins (including recycling, compost, and incinerate receptacles) can accommodate all the garbage unless you are ordering box lunches. We must request additional bins if you have boxed lunches for your group, so please alert us ahead of the meeting.

Large catering trays or pizza boxes do not fit in the Imagine Center’s trash bins. The Imagine Center can provide large trash bags, but you and your team are required to clean up all catering trays/pizza boxes and pick-up after your guests.

Set-up, Timing, & Food

A: We ask that you work with the Imagine Center staff to arrive with plenty of time to set up technology (at least 15 minutes early), make food deliveries (at least 30 minutes early), and arrange furniture/space (at least 30 minutes) for your meeting.

A: No, please do not plan to start or prep for a meeting before the building opens:

During the school-year: 8:30 a.m. on weekdays; 10 a.m. on Saturdays

During the summer: 8:30 a.m. weekdays; closed on Saturdays

A: No, the meeting must be completely concluded when the building closes–

During the school-year: at 8:00 p.m. on weekdays; 6:00p.m. on Saturdays

A: The Imagine Center has a cafe area between the Summit Auditorium and Free Dive Conference Room. You are welcome to put food there. Please be advised that Imagine Center staff will try to ensure food is consumed only by program participants, but the cafe area is a common space, so other visitors may help themselves if you do not place signage or have staff the space.
